Job Description

Administrative Assistant needed for nonprofit organization, WriteGirl (www.writegirl.org). We are seeking full-time support for events and administrative activities. Duties may include, but are not necessarily limited to, coordination for events, phone and email communication, collaboration with volunteers, data entry, research, running errands, tracking inventory, communication with partners and venues, collaboration with volunteers, transporting and setting up event materials, light manual labor such as lifting and moving boxes of books, and other duties as assigned.

Events and meetings are held online and some are held in-person in Downtown LA, Pasadena, Glendale, and other locations around the greater Los Angeles area. Events may include workshops in partnership with the county’s Dept. of Probation and other organizations. All of our staff have an on-camera presence at our online events. We’re a small team coordinating impactful programming for youth and we’re looking for a collaborative team member who can attend to the details while staying connected to our mission.

While the workweek will not be longer than 40 hours, the workweek will include events and meetings on some evenings and Saturdays. Multiple Saturdays a month may be required. This is a hybrid position that requires 3 days per week at our downtown LA office. Two days per week of remote work is permitted. On occasion and depending on business needs, more or less in-person attendance may be possible.

Position reports to multiple managers and the Executive Director. Ability to report to more than one supervisor is required.

Skills & Qualifications
Bachelor's degree or equivalent experience preferred
Some previous administrative and/or event planning experience preferred
Excellent oral, written and interpersonal communication skills
Strong business writing skills
Excellent phone and video conferencing skills
Proficient in computer skills (email, Google Drive, Microsoft Office, internet research, Zoom)
Strong proficiency working on a Mac
Experience with project management tools, such as Slack and Google Calendar
Proactiveness, strong attention to detail and adaptable in a fast-paced environment
Strong interest in supporting the creative programs we deliver
Strong ability to adapt quickly to changing priorities and unexpected situations
Ability to work independently and in a team environment
Self-motivated with the ability to complete projects in a timely manner
Organizational, multi-tasking, and time management skills
Reliable car and insurance

Physical Requirements:
The employee is regularly required to sit for extended periods, frequently walk and stand. The employee must also use his/her/their hands to operate office equipment and reach with hands and arms. Employee may occasionally climb, stoop, kneel or bend. Employee may occasionally lift and/or move up to 20 pounds.
