Job Description

Established private art advisory and collection management firm seeks an Art Administrator to support everyday administrative responsibilities.
Responsibilities
Logistics of acquisitions and sales including but not limited to tracking shipments, tracking invoices and payments, direct coordination with bookkeeper

Sourcing crating and transportation quotes/estimates

Coordinate and communicate with art galleries, storage facilities, logistics companies, conservators, framers and photographers.

Administration of client storage account

Collection management - updating purchases and sales inventory

Ensure the organization’s database information is accurate, up-to-date and organized. Basic research skills to capture and document data about artists and designers

Coordination, documentation and onsite assistance with the installation and deinstallation of valuable collectibles.

Manage schedules, meetings and appointments

Coordinate travel arrangements - book flights and accommodations

General administrative support

Requirements
High Level of Discretion

Proven office management, administrative, or assistant experience

Excellent time management skills and ability to multitask and prioritize work

Attention to detail and problem solving skills

Strong organizational and planning skills

Proficient in Microsoft Office

Knowledge of data and administrative management practices and procedures

Ability to post and use websites
